   PTA Meeting - Minutes - September 19th 2007 - 8pm

1.    Welcome to new members

Pete welcomed the following new members: Dave Gomm, DM Lawrence, Esther Worboys, David Parker, Sally Wilton. 

2.    Apologies

3.    Minutes of the last meeting

The minutes were approved as being accurate. Some present had not received minutes.

4.    Matters Arising

No matters arising. 

5.    Finance update

David distributed Treasurer’s report. There is currently £37,711.92 in the PTA account. There are still outstanding commitments for Playground Equipment, Dinner Lady Trolleys which we have not received invoices for. 

Uncommitted funds list: It was agree to remove our commitment for laser printer cartridges.

A query was raised regarding School Journey Fund is £870.00 sufficient to cover short fall in non-payments. Would PTA be prepared to commit more if needed? 

Playground equipment, still no money spent, David agreed to leave commitment on list. 

Dansicality, extra activity – no figures available yet. 

Rugby car parking has so far raised £15,500 over summer - £19,250 is the estimated total up to the end of the year. 

There is £13,000 of uncommitted funds with a further £20,000 income still to come in. 

David confirmed financial year starts on 1st October. 

6.    Rugby Car Parking

Pete confirmed there had been an incident on the Sunday evening after the Police concert. A concert goer complained about the length of time that it was taking to exit the school onto Nelson Road and suggested that we needed additional marshals to direct the cars out of the site. Pete pointed out that as there is only one way out of the school here will always be congestion especially if the traffic has built up on Nelson Road, this will cause further delays.

It was suggested that we could contact the local community police regarding the traffic flow and monitoring. 

PTA voted and it was agreed to raise the fee for parking on the day of events to £15.00, this is the same price as for online bookings. 

Pete confirmed that Bea Lindsay would be stepping down from her role as car parking rota co-ordinator. Pete agreed to take over the role. Bea confirmed that the list of volunteers is diminishing and that we need to get some new volunteers. The PTA thanked Bea for all her efforts of the past years co-ordinating the rota. 

7.    Past Events

Yr 6 leavers Party – The event went very well and all that participated enjoyed themselves. Sally confirmed that she had received receipts totalling more than was budgeted for. It was agreed to raise budget from £500.00 to £750.00. 

8.    Future Events

Family BBQ – 29th September – Teresa confirmed that we were selling tickets steadily. Class reps to remind parents about event. Food would be exchanged for tickets; therefore money would not have to be taken on day of event at the barbecue. Teresa confirmed she would be asking for more helpers. PTA boards to be made available to promote work of the PTA.  Event is being held as a social event for staff and parents and to raise profile of PTA and not as a fund raiser. 

Quiz Night – Nothing arranged as yet. Pete will try and arrange something before end of November. 

Christmas Fair – November 30th - Jacqui Smith agreed to be co-ordinator of the Christmas Fair, Tuesday, Sue, Tina & David volunteered to help. 

9.    Projects 

Conservation area – On Hold 

Chess Set – Pete still needs to source 

Reading Scheme - It was agreed that we could fund more interesting books for older child still on the reading scheme – Sue would ask Alison Fox to investigate 

Infant Furniture - Has been ordered, and delivered – one piece had to be sent back but otherwise it looks good.

Role Play Panels - Purchased and in use in reception classes, one panel arrived broken – it is due to be replaced. 

Electric Piano - Ongoing 

PC's - All have arrived and have been installed 

10.  Funding Requests

a)   Annual Commitments agreed – Funded

b)   PC costs £7,000 agreed, £6,000 has been invoiced - £3,500 additional amount required – Additional funding agreed as we have committed to project Funded

c)   National Literacy Strategy Visualisers estimated cost £250.00 – Mrs. De Boeck will try to borrow or purchase from her budget, if successful and more were required, PTA may agree to add to commitment. On Hold  

d)   Dansicality 2 days tuition £300.00. PTA agreed to commit funds. Funded 

e)  New trolley & bins for Helen Carter (School Caretaker). Money agreed in principle.Helen to get costing. – Pending 

11.  Teacher Rep

Nothing extra 

12.  Head teacher 

Request from reception classes for role-play wooden kitchen equipment – costs £300.00? Commitment agreed by PTA – Funded 

Christingle Cost – £100.00 was committed by PTA to meet this cost. – Funded 

Fencing or Reception Play Area – School has already ordered and is committed to pay for fencing, estimated cost £700.00, Paul asked PTA to pay for fencing. PTA voted and it was agreed to pay for this cost - Funded 

13.  Class Reps

It was agreed that existing reps would continue with their new classes and Pete would circulate requests for un-represented classes 

14.  AOB

PTA agreed to purchase 5 large tents, which are being sold off by Scout Movement at £65.00 each.

On Sunday 23rd September Twickenham Rugby Ground are hosting a recycling day between 10am and 4pm. Pete will take the boxes of books and videos at are still in the PTA cupboard.

After School Mad Science Club - Pete to investigate costs. Jacqui Smith asked if we could fund a terms music lessons for one or two of the School years. As many children miss out on playing an instrument because of cost. Mrs. De Boeck said she would discuss further with Mrs. George.

Sally Wilton queried whether we had a 2nd hand clothing out let. It was agreed this was something PTA could co-ordinate  

The next PTA Meeting was set for Tuesday 30th October at 8pm
